You would recall that at the 16th General Meeting of Shareholders of the Bank it was resolved to set up an Adhoc committee comprised by selected representatives of shareholders to consider ways of resolving the headquarters crisis and also review proposed amendments to the Bank Charter. You would further recall that the efforts of the Committee were to be taken in tandem with initiatives to be pursued by the Chairman of the General Assembly and on conclusion of these special assignments an Extra-ordinary meeting would be convened.
I am pleased to inform you that both the Committee and the Chairman of the Assembly have completed their work and are in a position to report back to shareholders. Accordingly, notice is hereby given that an Extra-ordinary General Meeting of shareholders of the Bank shall be held at the Grand Palm Hotel, Gaborone, Botswana on Saturday 5th June 2010, starting at 10:00 hrs. The draft agenda of the meeting is as follows:

1. Welcome Remarks by a Dignitary of the Government of Botswana
BREAK – BREAK – BREAK
MEETING OF SHAREHOLDERS IN CLOSED SESSION
2. Adoption of the draft Agenda.
3. The report of the Annual General Meeting Committee:
a. Amendments to the Bank’s Charter.
b. Relocation of the Headquarters.
4. Any other Business.
You are kindly requested to complete the attached registration form and return to us at your earliest convenience. Representatives or Proxies would be required to produce evidence of identity.
A specimen form is attached herewith for the appointment of a proxy, if necessary, and as appropriate.

If a Botswana Embassy does not exist or represented in your country, or in cases where you are advised to obtain a visa directly from the immigration authorities at the port of entry in Botswana, we would soon be forwarding a letter to be issued by the Botswana authorities confirming that visas would be delivered on arrival at the Gaborone International Airport.
